Your privacy is very important to us.
We have a few fundamental principles that we follow:
- We don’t ask you for personal information unless we truly need it.
- We don’t share your personal information with anyone except to comply with the law, protect our rights or take payment for an Event ticket (see below).
- We don’t store payment information, ever.
- We don’t store personal information on our servers unless required for the on-going operation of our site or club.
- We will, at all times, be entirely transparent about your data, and our processes. Please contact a member of the committee either online or in-person if you have any questions.
Website Visitors
Like most websites yorkgarrison.co.uk typically collects non-personally-identifying information of the sort that web browsers and servers typically make available, such as the browser type, language preference, referring site, and the date and time of each visitor request. Our site also automatically records potentially personally-identifying information like Internet Protocol (IP) addresses for logged in users and for users leaving comments.
Gathering of Personally-Identifying Information
Under certain circumstances we gather personally-identifying information. The amount and type of information that we gather depends on what you, as the user seeks to do on our site. We ask visitors who wish to sign up to comment or post to provide a username, name and email address. In each case we only collect such information only insofar as is necessary or appropriate to fulfill the purpose of the visitor’s interaction with our site. As a club, with real-world meetings and attendance, we ask for your name for the purposes of organising games, reconciling our members list and booking tables.
York Garrison does not disclose personally-identifying information. Visitors can always refuse to supply personally-identifying information, with the caveat that it may prevent them from engaging in certain website or club-related activities.
Gathering of Personally-Identifying Information for Events
Should you, the user of this site and/or a member of our club, wish to participate in a ticketed event, our site will fulfil the ticketing process, and will ask you for and store your postal address and a phone number. This information is provided by you. Your address will be transferred to Paypal over a secure connection for the purposes of collecting Payment, and your phone number will only be used for matters relating to the Event you’ve committed to attending. We will never share this information with anyone.
Should you wish to purchase a ticket for an event outside of our online store please speak with a member of the committee. In these circumstances we would still take a contact telephone number and name, and would collect the payment in person.
Should the Event in question be run by someone other than the York Garrison committee, York Garrison will provide a list of names to the organiser for the purposes of attendance. We will not provide an address or phone number. Should the organiser need to contact you, a member of the York Garrison committee will contact you on their behalf.
Protecting your Information
We store your information in two places.
Yorkgarrison.co.uk is a WordPress powered piece of software that includes a database that stores the information you provide as part of creating an account and using this site’s features.
The committee also maintains a number of Googledocs spreadsheets that;
- Track month-by-month attendance and the collection of payments for regular Wednesday meetings.
- Track annual membership to our club.
In both cases we store a name, and in the case of tracking annual membership, we also hold an email address, taken at the point of becoming a member.
Members of the York Garrison committee are the only members of our club that have access to our Googledocs spreadsheets and Yorkgarrison.co.uk backend systems and databases.
Right to Erasure, Right of Access
You have a right to request that we remove, completely, all data that relates to you. You also have the right to access any data we hold that relates to you. In both cases will do so within 30 days.
If the data you’re requesting contains a postal address and/or phone number, we will ask you to verify your identity before fulfilling your request.
Emails
Yorkgarrison.co.uk does not currently operate any newsletter or email-list driven features. We do not send marketing emails, nor do we share your email address with others. We do not automatically subscribe you to any feature that generates emails. Yorkgarrison.co.uk does send emails in response to your activity, such as sending a confirmation email on creating an account, buying an event ticket or subscribing to a thread in our discussion forums.
Cookies
A cookie is a string of information that a website stores on a visitor’s computer, and that the visitor’s browser provides to the website each time the visitor returns. York Garrison uses cookies to help identify logged in users and their website access preferences. York Garrison visitors who do not wish to have cookies placed on their computers should set their browsers to refuse cookies before using our website, with the drawback that certain features may not function properly without the aid of cookies.
Ads
We do not actively use Ad Networks or include Ads as part of our regular content or site.
Privacy Policy Changes
Although most changes are likely to be minor, York Garrison may change its Privacy Policy from time to time, and in York Garrison’s sole discretion. York Garrison encourages visitors to frequently check this page for any changes to its Privacy Policy. Your continued use of this site or our club’s facilities after any change in this Privacy Policy will constitute your acceptance of such change.
